Your privacy matters. This Privacy Policy explains how KnowledgeNote collects, uses and protects your data.

We follow GDPR-friendly principles: transparency, minimal data collection and user control.

2. Information We Collect

Information you provide:

  • Email address
  • Account details
  • Content you create (pages, notes, goals)

Automatically collected:

  • IP address
  • Browser & device info
  • Usage analytics (non-intrusive)

3. How We Use Your Data

We use your data to:

  • Provide and improve the service
  • Authenticate users
  • Communicate updates or support
  • Ensure platform security

We do not sell your personal data.

Legal basis for processing (GDPR Art. 6)

  • Account and content data (email, name, password, pages, notes, goals) — processed on the basis of contract performance (Art. 6(1)(b)): this data is required to provide the service you signed up for.
  • Technical data (IP address, browser info, usage analytics) — processed on the basis of our legitimate interests (Art. 6(1)(f)): security, fraud prevention and service improvement. This does not override your rights.

4. Data Storage & Security

We apply industry-standard security measures to protect your data.

While no system is 100% secure, we work continuously to improve protection.

5. Your Rights (GDPR)

You have the right to:

  • Access your data
  • Correct or delete your data
  • Export your content
  • Withdraw consent
  • Request account deletion
  • Lodge a complaint with your national Data Protection Authority (DPA)

6. Third-Party Services

We work with the following trusted third-party processors, strictly for service operation:

  • MailTrap (email delivery) — receives your email address to send account confirmation and system emails.
  • Google Cloud Platform (GCP) (hosting & storage) — stores all user data on servers located in the United States. Data is encrypted at rest. Transfers from the EEA are covered under the EU–US Data Privacy Framework, to which Google LLC adheres.
  • Google Analytics and Microsoft Clarity (usage analytics) — track on-site behaviour (page views, clicks, session data) to help us improve the platform. These tools do not receive your name, email or personal content.

For registered users, these analytics tools are active throughout the platform and cannot be opted out of individually.

All processors operate under appropriate data protection agreements.

Automated decision-making and profiling

We do not use automated decision-making or profiling that produces legal or similarly significant effects on you. Usage analytics collected by Google Analytics and Microsoft Clarity are used solely for service improvement and are not used to profile individual users.

7. Data Retention

Your data is retained for as long as your account is active. Account deletion is currently under development. If you wish to delete your account and all associated data before this feature is available, please contact us at gleb.sergeevi4@gmail.com and we will process your request manually within 30 days, as required by GDPR.

We may update this Privacy Policy. Major changes will be communicated.

10. Data Breach Notification

In the event of a personal data breach, we will notify the AEPD (Agencia Española de Protección de Datos) within 72 hours, as required by GDPR Art. 33. Account credentials (email, password) are encrypted, meaning individual user notification under Art. 34 is generally not required. We will assess each incident and notify affected users if required by applicable law.

This Privacy Policy applies to all users of KnowledgeNote and explains how personal data is handled across the platform.
